Your privacy matters to us. This policy explains how Wealth Labs Inc. collects, uses, shares, protects and keeps your personal information, and the choices you have. We follow Canada's federal privacy law, the Personal Information Protection and Electronic Documents Act (PIPEDA). If that law is replaced, we will update this policy.
Wealth Labs Inc. is an independent financial planning firm at 622 Elma St W, Listowel, Ontario N4W 1W3. We provide financial planning, life and health insurance, group benefits, and investment planning with partner portfolio managers. Wealth Labs Inc. is licensed by the Financial Services Regulatory Authority of Ontario (FSRA) as a Life and Accident & Sickness Corporate Agency (licence 40722M). This policy covers personal information about our clients and prospective clients; the family members and other people our clients tell us about, such as beneficiaries; members of group benefit plans we arrange; and visitors to our website and subscribers to our newsletter.
Ben Zavitz, CFP®, CLU®, is our Privacy Officer and is accountable for how we handle personal information.

We collect only what we need to advise you and to arrange the products and services you choose. Depending on the work we do together, this may include:
• Identity and contact details: your name, address, phone numbers, email address, date of birth, and the identity documents we must verify by law.
• Your Social Insurance Number, only when the law or a product provider requires it (for example, for tax reporting on an account).
• Financial information: income, assets, debts, accounts, insurance policies, pensions, tax information, and your goals.
• Health information, when you apply for life, disability, critical illness or health insurance.
• Information about your family and household: your spouse or partner, children, dependants and beneficiaries.
• Business information, if you are a business owner: your company, its shareholders, and its employee benefit plans.
• Credit information, with your consent, when you apply for a mortgage or a loan.
• Records of our conversations: meeting notes, emails, text messages and, for some meetings, recordings and transcripts (see "Meeting Recordings" below).
• Newsletter and website information: your email address if you subscribe, and basic technical information when you visit our website.
We collect most information directly from you: in meetings, on forms, by phone, email and text message, and through secure online forms. With your consent, we may also collect information from others, such as insurers, lenders, credit bureaus, your employer (for group benefits), and other professionals who advise you.
• To understand your situation and give you advice.
• To recommend, apply for, and service insurance, investment, mortgage, and group benefit products.
• To verify your identity and meet our legal and regulatory duties, including anti-money-laundering rules and the requirements of our regulators.
• To keep accurate records and show that our advice is suitable for you.
• To communicate with you about your file, your products, and your appointments.
• With your consent, to send you our newsletter and information about services that may interest you.
We ask for your consent before we collect, use or share your personal information, unless the law allows otherwise. For sensitive information, such as health and financial details, we ask for your express consent, usually in writing when we start working together. When you give us information about other people, such as your spouse, children or beneficiaries, you confirm that you have their permission, or the authority, to do so.
You may withdraw your consent at any time, subject to legal or contractual limits and reasonable notice. Withdrawing consent may limit what we can do for you and, in some cases, may end our working relationship.
We share your information only as needed to provide the services you ask for, or as the law requires. This may include:
• Insurance companies and their underwriters, through the Managing General Agencies (MGAs) that support our insurance business.
• The mortgage brokerage we work through, and mortgage lenders, when you apply for a mortgage.
• The portfolio managers and investment firms you choose to work with through us.
• Group benefits and group retirement plan providers.
• Other professionals, such as your accountant or lawyer, only with your consent.
• Regulators, government agencies, courts and law enforcement, when the law requires it.
• Another licensed advisor or agency who takes over your file if Ben Zavitz becomes unable to continue, dies or retires. You will be told, and you may choose a different advisor.
We never sell or rent your personal information.
We use trusted service providers to run our practice, for example for client records, email, secure file storage and backups, electronic signatures, meeting notes, appointment booking, phone and text messaging, mortgage applications, email newsletters and online forms. These providers store and process information on our behalf, only for our purposes, and under contracts that require them to protect it.
Your information is kept and processed in Canada and the United States. Information stored or processed outside Canada is subject to the laws of that country and may be accessed by its courts, law enforcement and national security authorities. We remain responsible for your information when a service provider handles it for us.
Because the services we use can change over time, we describe them here by what they do rather than by name.
To keep accurate notes, some meetings, including virtual meetings, are recorded and transcribed by a meeting-notes service. We will always tell you at the start of the meeting, and you can ask us not to record. Recordings, transcripts and notes are kept with your file and protected like the rest of your information.
We protect your information with safeguards suited to its sensitivity:
• Physical safeguards: paper files are kept in secure locations, and records we no longer need are shredded or otherwise securely destroyed.
• Technical safeguards: passwords, encryption, access controls and secure systems.
• Organizational safeguards: access only for people who need it for their work, and confidentiality obligations for our staff and service providers.
We keep your personal information while you are our client and for seven years after our relationship ends. If you do not become a client, we keep your information for seven years after our last contact. When that period ends, we securely destroy it or permanently remove anything that identifies you, unless the law requires us to keep it longer.
We rely on accurate information to give you good advice. Please tell us when your information changes. We may also update your information from time to time as we review your file.
You can ask to see the personal information we hold about you, how we use it, and who we have shared it with. We will respond within 30 days. If we need more time, or cannot give you some information (for example, because it contains details about someone else), we will tell you why. There is normally no cost; if there would be one, we will tell you first. You can also ask us to correct information that is inaccurate or incomplete. We will ask you to confirm your identity before we release any information.
We send you emails and text messages about your file, your products and your appointments. With your consent, we may also send you our Month-in-a-Minute newsletter and information about services that may interest you. You can unsubscribe from marketing messages at any time by using the link in any email, by replying STOP to a text message, or by contacting us, and we will stop within 10 business days. We follow Canada's Anti-Spam Legislation (CASL).
Our website may use cookies and similar tools to make it work and to understand how it is used. You can control cookies through your browser settings. Our website links to other services, such as our online booking tool; those services have their own privacy policies.
We collect information about children only from their parents or guardians, or from another family member who has a parent's or guardian's permission, for example to plan for education savings or to name beneficiaries. We do not knowingly collect personal information directly from children.
If a breach of our safeguards creates a real risk of significant harm to you, we will notify you and the Office of the Privacy Commissioner of Canada, as the law requires, and take steps to reduce the harm.
If you have a question or concern, please contact our Privacy Officer first (details above). We will investigate and respond as soon as we can. If you are not satisfied, you can also contact the insurer involved (for insurance matters) or the Office of the Privacy Commissioner of Canada:
